okay thank you so much for being here and for your flexibility we as you know we have a testing program that is starting March 8th so a week and a day from today and so I wanted to just take this opportunity to go through it with you obviously I haven't done it myself since we haven't started our program but there are others tricks that are already doing this program it's in place in El Segundo and in Palos Verdes and in Culver City if you have any friends in any of those districts you can ask them about it but my understanding is it it's really simple and easy and user-friendly so hopefully this won't be too difficult I think and so I will I mean to just I'm going to are you a video that comes from the actual testing organization and the system that were using is called color if you could meet at would be great I'm going to go ahead and start meeting people but if you can meet yourself that would also be awesome okay so I'm going to show you a video from from color that is 8 minutes long and it just shows you everything it actually gives you more information than you probably need but we'll do that and then we and then we can all show you what our setup looks like and then we can answer questions so hopefully will be done by 9 and then you can all go on with the rest of your day so I'm going to just start with this video and hopefully it will work hi thank you for taking the time to which is used at covid-19 testing sites The Daily Review creating your account and then we will go over the actions will most likely when using the digital tool such as logging into your account setting up for the day registering and checking in a patient for testing confirming a patient's information collecting there in registering a sample to the I stopped creating your account you need to create a color account to use the digital on-site tool to do this you will first go to home caller.com create account and fill out the information instead of password the information you need to provide is your first name last name email address make up a password but you use should be the email address that was provided to color initially as will use this email address to give you access to the testing site once you completed all of those fields click the pay create account button you will then receive an email asking you to confirm your email address it may take a minute or two to arrive be patient click the link in the email to confirm your email address and claim your account your now all set attested everything is working properly you can go to home. Color.com covid-19 when you log in there you should see the dashboard for your testing site with your personal name in the top right-hand corner it should look like this over here this is a site for a real San Francisco and the person whose account it is is Stephanie Wallace I recommend that you try this out before you have your first day on site next up logging in and setting up for the day now that you've treated your account and I'm sure that you can log into it you're ready to use the digital on-site tool to do your work this tool is utilized any computer or tablet and everyone working on-site will have their own individual log in the tool is used to register patients for testing collector informed consent and register a sample that I'm using a unique barcode when you get on site you want to go to that address of Home. Color.com admin on the computer or tablet browser Google Chrome is the recommended browser an Internet Explorer for example will not work very well do you recommend in Google Chrome or something similar you want to login with the email and password that you created either using an attachable scanner you want to make sure that it is plugged in and working properly some sites may be using a scanner app with a tablet or like an iPad and can therefore skip the step of a scanner UniFirst login you'll be prompted to pick your population and the age group that you'll be working with us to for example some peep sights may be working with patients are under the age of 18 since I may be working with people who are over the age of 13 once you collected your choices you are now all set to register your first patient each patient will be registered on site using what we call the on-the-spot slow I just want to pause here and say that this actually your dashboard this actually you probably won't have to do this registering on because we're going to ask people to register in advance but in case you have to I'm going to just go ahead and play through this so you are already registered and checked in right here patients who have been collected and patients are yet to be collected and who are remaining for the on the spot so this number will be quite similar to the number of patients were checked in to register a new patient you'll want add patient in the upper right-hand corner clicking application to open up a data entry form fill out all of the patient information and click continue complete the patient's Insurance in Mission and survey questions which include questions about why they're getting tested any symptoms they may be having and their language of preference location is not registered for testing and I'll check if you are testing a population that includes individuals under the age of 30 you also need to collect the parent or Guardian information and check the box to attest to their relationship to the patient continue and complete information and survey questions once that's completed a patient is not registered and all checked in for testing now we will cover double checking the patient information collecting the patient and registering a sample to the patient once you have registered patient they are now checked it you'll see the blue what we call a toast at the top of the screen that says patient at instruction you want to click on the patient's name you can also find them listed under check in patients by clicking the scab if there a lot of patience on the traction list you can also search for them by their name in the search bar over once you click on their name it will open up their record once you have open their record you want to double-check the information that you entered paying specific attention to their date of birth and phone number and email is that is how we let people know when their results are ready additionally they use their date of birth to access their results if you notice any errors click update patient info in the upper right-hand corner if you need to edit any of the patient information you can make the necessary changes here and click save changes hopefully most of the time you will not need to do this you'll just be confirming the patient's information on the previous screen cooking centineo the next step is documenting the verbal consent for the patient asks the patient if they consent for testing today and check the box that says yes and then click continue if they decline and you can cancel and move on to the next patient if the patient does consent you'll move on to step three are you a register a sample to the patient this is one of the most we don't require the patient's information be written on the collection tube so this is a step that ensures we know which sample belongs to which particular patient it is recommended that you you only have one kit when testing kit out at a time when you have that check it out you can also do a quick check to make sure the sticker on the tube and the sticker on the takeaway card match you can also examine the collection kit for any imperfections make it unusable you'll want to tap or click it's Keenan you want to scan the barcode on the 2 or the card they are the same barcode so either is fine if using a scanner app we will talk your finger into the barcode box what should open the scanner app on the tablet so that you can scan the barcode once the bar code has been still then you will cook complete if the scanners aren't working you can also type the barcode in May you don't want to do this for every patient so I recommend unplugging the scanner plugging it back in again or restarting the tablet if this issue persists last week you'll know successfully completed this patient's registration because you will be routed back to the original screen of the list of checked in patients who could start the process over again with a new patient you were unsuccessful routed back to the page so you can try again I conclude the training for the typical function do you perform using digital on-site tool for the on-the-spot flop okay so let me just follow up with a few pieces I'm one is that if you got my email yesterday I have sent your name and email into color to ask them to add you so you can't register for your account yet but you'll get an email from them that should look something like this is the right email something like this do it it from color site onboarding it says cdph BBL 19 testing site administrator and then it will say hello it will tell you that you're registered as a testing administrator and it will tell you how to create your account so that you can get into the system the way that they scribe in the video so hopefully that will be coming soon and then we will be sending out I will be sending out a district-wide email probably early next week asking all employees to register I'm in the system so that you don't have to register them on the spot but will also be providing you with a QR code and this QR code will take employees to the Registration site so if they get you and they haven't registered you can say go scan this QR code and register yourself so again you shouldn't have to do you know the registration process itself we're also Carol in my office is doing an amazing job of pulling all this weather we're also going to be providing you with instructions about how the test is supposed to be administered but the test Administration is a self-administration so you are not doing you're not touching anyone you're not touching you know there's no car text between you and the person accepts it explains the test kit and just to show you this is what a test kit looks like it comes in an individual baggie and when you open the baggie inside it has a card that gives you the barcode this is what you scan in and then you give this card to the employee this is their record that they took the test it comes also with a swab so the employee take Les Schwab out themselves does takes their own sample and then puts it into this little vial that comes with the with the basket so they do all of that they put it all in into the vial themselves and then they they give it back to you and you put it in a collection bag and get it back to us and that is all there is to it so hopefully it's a relatively simple process we are because we need to ship in volume we can't ship a few at a time or asking that all testing take place on Monday and Tuesday of each week and so will get you the supplies by the end of the week before and then you return them to the district office we're still working out the shipping information the details about how we're getting it back but we're supposed to ship it same day so I will need you to get it back to us in the afternoons on Monday and Tuesday and then I will ship it and results should be available they say within 72 hours but probably even sooner than that so that is the process in a nutshell but I'm sure there are lots of questions about how we Implement and how we make it work for so please let me know what your questions are I'm on the presentation it said if people essentially opt out to just cancel out there information are we allowing people to opt-out is it or is this required if somebody is refusing then we need to work through HR with it so I did and you want to take that what's the next if they say no right so for now for This Moment In Time the the covid-19 are not necessarily required so what we can do is go with the people who are opting in and and doing theirs but we are anxiously watching guidance from the State Department of Health in the county department of health and if and when that comes out that it is required in you know in the purple cheer every week in the Red Scare every other week people aren't going to have an option so if they say no then I guess they get to talk to me because it's it's going to be a requirement and is it I mean Donald and I wanted to check with you on that and a mice incorrectly I thought that we were saying that as an employer we were requiring it so we would need to talk to individuals if they were saying no so it's currently not required by the state although it does seem like it's heading play we seeing proposal supposed to come from the governor and the legislature both of which that say that this is the testing Cadence that where were that we are saying should be followed which right now given where we are in our tears is once a week when we get down to read I think that drop it to once every other week so we may slow it down but we we think that people who are working on site should do this test right always out of abundance conscience I think what that mean send is when when when we're communicating us at this is what we're doing it needs to be clearly stated that this is a requirement mdusd is requiring it and then the folks that say no then I get to talk to them okay I will follow up on the process of that are we denying entrance at the point of the refusal or we permitting them on campus and they'll be a follow-up from you I just want to know what the steps are for that if we hit that and I understand it's hypothetical but I think the I think the letter we let them continue with their day as long as they've done the screening and then we'll follow up and right question I have a teacher who got the initial information to get a test and she said that her and I sent this email to Heather Hoffman we might have an answer and she said that her insurance does not allow testing unless the doctor requires it so is there going to be a problem with insurance or anything like that so the way the system works so that's a really I'm glad you brought that up Michelle so when a person goes to register there's a series of questions that they have to answer some of those questions may make people feel a little they ask for some personal information so Catherine has put together and instruction you know what a PDF showing people how to do it but what's real important to know is that for almost a really almost every question there's an option that says I prefer not to answer or something like that cuz it asks questions about gender and sexuality and you know all kind are you pregnant questions like that which people can find a way to say no thank you I don't want to answer that but at the end of it it does ask you for insurance for your insurance information and what happens is that the employee and when they're filled the form says that it's an employer required test and then color the system that were working with works with the insurance company based on the information the employee submit to try to get reimbursement if the end so they'll try to get reimbursed the insurance company if it doesn't then they will use other funds to pay for it but we do ask that people put in their insurance information so that the the state so that they can try to get the reimbursement through the insurance companies of can I just add another comment to that just tried going back to the employees refuse just to all of you who are working with this please don't make this a confrontational thing if they don't want to put you in tell me a situation where you know you you get into a conflict that's not your conflict so just say thank you very much and and that's it and then let the school know what happened later on but don't say reporting you to the principal at the doctor Matthew said you have to do this don't do any of that stuff just be nice smile and move to the next person right so that we do not want to create any kind of uncomfortable situation for you we will deal with it later on if someone has been had two vaccines do they still need to complete this yes the latest guidance out there is that that the CDC still recommends testing because we're I'm sure with a vaccine does in terms of your ability to carry and transmit even though you don't get sick. Did you want to add to that I've been getting a lot of questions on that also as far as quarantining if you have both vaccines right now we still have to quarantine I believe the guidance will come at some point and Suzanne correct me if there's something new but quarantine is still required and even if they go and get test, test and their Negative they still have to quarantine you even if they have the the two vaccine so it's important for everybody that's dealing with people to know that I'm at this point we're going a little sad faster than the public health directives I think so they're they're going to catch up eventually but right now in till they get there they still have to test and they still have to quarantine I would just like to make a comment on the logistics just to re-emphasize I know this was in the emails and I think it's in Katherine's materials to but the Monday and Tuesday testing is to capture everybody that is on site over those two days and should be everybody that's on site for the week at your site so when you're setting up your plan of who gets tested Monday and Tuesday just keep that in mind as well because we won. Register list that you're going to see when you log to be completed by Tuesday of every week that make sense yeah and to that point I think you know what we're saying might whatwears will say to employees is Monday and Tuesday and then we will leave it up to you so if you want to set specific appointment times if you want to set an arrow or Windows and say you know you got to come in between I don't know 8 to 7:30 and 9:30 or you know whatever you want to do to make the flow manageable but still get all the people is completely fine and I think up to you for what works best at your side or in your department will you guys be providing a scanner to us yeah thanks for asking that question so Eric has purchased handheld scanners and has devices so he'll be getting those out to you he wants to wait until he's had a chance to test it out on an actual you notice get himself but he's he's got all the equipment right spell for all of us to go get that out shortly tell if you and will we be provided PPE for the people who are receiving the samples and all of that get on this call and I don't know if they should be taking that from the supply they already have or if you're putting separate packages together can you speak to that and I think I should get out some more for that so that they still have stock great thank you I have a quick question what is the expectation for the transport of at the end of Monday and Tuesday from me as my driver Oh you mean to get the the whole package of it shipped well and also getting it to the district office is that on each school on their own or are you expecting him to pick deliver to the district office I think we would like to ask each site to take care of their own delivery but if that's a challenge for any of your sites please let me know and we'll figure out a plan thank you and just as a maybe we are targeting the samples to be at the district office by 3 so we can repackage and have them picked up in a Consolidated Way by 4 go to you girl at the district office yes also if I may and Donna Lynn if this was in the presentation I apologize but I didn't quite see it I know at the end the we are supposed to collect the sample in a plastic baggie and I'm wondering I know when I've gone to beach cities health district and I've done it myself I the patient put it in the baggie and hand it over to the medical person you know who has the the gloves and everything on but I put it in so I thought I heard you say that they would give us the sample and then we would put it in for them know you'll put it into the collection bin or bag but they should put it all back into this baggie and hand it to you. It and thank you for the secret question thanks for playing and that is well and we can have them scan their own bile and all that right we can just set it up to where one safe place it in the Bible they can scan it and then place it in the bag you seeing it before you hand it to them any other questions tunnel and I was talking with another District to started this last week and they have the employee actually dropping it in the bed so is that we don't even take it back from them so the whole play after you hand it to them and you never touch it again so is that okay to do a hundred percent sign that's a great idea in fact I think we recommend that and then when are they that I've heard asked a couple of times is that you know it's today is there an expectation of privacy and should there be a separate room and certainly we don't want anyone to feel uncomfortable about you know sticking a swab up their nose butt the test the test administrator you have to witness that it's them taking their own sample and giving it to you so they don't you know get to take it over to the bathroom and do it and bring it back that you have to be able to supervise that makes that it really is there sample that they're returning to you so you know think about the best setup for that for you but there is not it's not something where you go somewhere else to take care funnel in apologies Mickey's 90th already that is on the parking lot of the expectation of how many people we can see and say it an hour how long does each test take so we can plan yeah it's it that's a great question. so what color says is at the beginning it might take as long as 5 to 10 minutes a person but I think that that is assuming that they haven't registered and you're like setting them up in the system my understanding unite I had a conversation with a colleague in another district and they said it's super quick person comes in you look him up you scan and they do this quick little swab and it's like a minute or two a person so you know obviously the first couple weeks it may take a little longer cuz everybody's learning how to do it but hopefully it once we get it get into the groove it should be pretty quick per person have a question for Suzanne will this replace are random surveillance testing is that safe to assume I am going to say yes please I agree I think if we're getting 100% of people we don't need a hundred and 10% text Heather Heather's all happy have a question how the employees going to be free registered for us to do this or we have to register them to pre-register so will send out an email and say bye-bye March 8th you got it Mister in the system will send out reminders and again as I see you know we'll have a QR code for you so if you if somebody shows up in your office and they haven't registered you can point to the QR code and say please go register yourself and then come back Inn tophatter silly question is there directions on how to swap your nose and that's on this thing that I showed you so it's very it's picture based and it shows them exactly what to do how to do it so hopefully it will it will be pretty self-explanatory but you basically you take this Lobby stick it in one nostril swirl it around and then you stick it in the other nostril swirl it around and then put it in the Bible I think dr.
